Rental Terms & Conditions


When you book on VRBO or other OTAs, not everything listed below will apply such as DAMAGE INSURANCE, PAYMENT/DEPOSIT, etc.




Reservations will be considered confirmed upon receipt of 50% Reservation Deposit along with review and acceptance of these Terms & Conditions. 

A valid Credit Card number on file is required on all reservations.                                                                                                                                                                                                                                                                                                                                                                                                                                                                       

All cancellations are subject to a $25 cancellation fee.                                                                                                                                                                                                                                                                                                                                                                                                                                                                                                   

If Reservation is canceled with less then 30 days NOTICE to arrival date the 50% deposit is forfeited.  

No shows or cancellation  LESS THAN 24 HOURS prior to arrival will result in 100% FORFEITURE of the total rental amount. 

No refunds for early departure.

After acceptance, if the event Guests wish to terminate this agreement, Travel Insurance, Damage Protection, and any processing fees are non-refundable. 

Eighty percent (80%) of the base rental amount will be refunded if the cancellation is made more than 30 days prior to the arrival date of the reservation. 

If the cancellation is made within 30 days of the arrival date, the base rental amount will not be refunded, but the reservation date may be moved to a time period within 6 months of the original reservation.  



Rental Payments/Deposits

The RESERVATION DEPOSIT IS 50% of the total rental amount and will be charged at the time of booking. The final 50% payment is due 30 days prior to arrival.  Full reservation payment is due and will be charged at the time of booking if the arrival date is 30 days or less from the date of booking.


Damage Insurance

For your, convenience AIVR has included in the rental price a $1,500.00 damage insurance policy to protect you and our clients' best interest. This way we don't have to hold or request a security deposit and hold it until inspection of said unit. Not all damages are covered by this policy.

                   The Accidental Rental Damage Insurance plan was NOT intended to cover:

                   1. Labor (time) to shop and deliver by on-staff personnel
                   2. Hot tub and pool cleaning
                   3. Excess cleaning charges – (ex: trash removal, whole house carpet cleaning)

Methods of Payments

Pay Pal, Visa, Master Card, American Express and ACH/check.


Check-In Time  

4:00 pm.        Please plan ahead if you arrive early. Plan dinner at a restaurant, stroll downtown, stop at the local park.


Check-Out Time

10:00 am.     Cleaning Crews need to access properties along with our inspector. We have a small window period to clean all of our units.

                     So, please check out on time. Thank you.



Check-Out Procedure

We ask that you leave the premises in the same general condition as it was found. 

Please do the following upon check-out:

  1. Bag your garbage and take out to the nearest dumpster or trash chute.
  2. Leave dirty linens on beds. Leave towels in front of the washing machine. (Wet towels place in a tub)
  3. Wash dirty dishes or place in the dishwasher and start the wash cycle.  
  4. Leave all the furniture arranged as originally found.
  5. Check all drawers and closets for personal items.
  6. Lock all windows and doors.
  7. Set the thermostat to 75° in the summer and 69° in the winter (October-March)
  8. Property inspections will be made after check-out.  



Services are contracted with and provided by a third party; therefore, we have no control of the quality or availability of this service, but will do everything we can to correct any interruption in service.



Each rental property is privately owned and furnished according to the owner’s individual style. 

Each unit is furnished for a comfortable vacation.

If you move furniture while occupying the property, you must return furniture to its original position prior to departure.

1 Towel & Washcloth per person (Max Occupancy of Unit)

2 Hand-towels per bathroom

**AIVR stocks additional sets per unit:  2 towels / 2 washcloths 

2 Dish-Towels

1 Liquid Hand-soap per bathroom / Kitchen

2 Rolls of Toilet Paper per bathroom

1 Roll of Paper-Towels kitchen

1 Dish-sponge  kitchen

1 Box Dishwasher Pods Under kitchen sink (more than enough to do your dishes)

1 Liquid Palmolive Dish-soap  kitchen

1 A container of laundry pods (more than enough to do your laundry)

2 Trash bags in each receptacle 



Maximum Occupancy

Occupancy is STRICTLY  limited to the number as shown on this website for your property.  Each property described indicates the number of persons allowed at any time, including children. 


Age Policy

It is the policy of Amelia Island Vacation Rentals, LLC  to rent to individuals who are 25 years or older.  Exceptions are married couples age 21 or older.



Parking requirements and limitations are listed in each property description.  Many condominiums only allow 1 vehicle and some condominiums require parking permits and cannot accommodate over-sized vehicles. Parkin driveways only; avoid parking in yards, grass or landscaped areas of the property. Please inform us if you need additional parking.


Parties - Wedding - Large Family Reunions

Rental properties are located in Mix-use neighborhoods that include both short-term rental guests and year-round residents. Be sure to observe all rules and regulations which are provided for each property. 

AIVR houses or condos cannot be used for parties, weddings or large family reunions due to City Ordinance and Fire Code.



Guests are required to observe all rules and regulations of the neighborhoods in which the unit is located, as well as all local, state and federal laws.  Any activities which create a disturbance to the neighborhood or disrupts the peace may result in Property Manager regaining the unit.                               



Dogs are only allowed in the  DESIGNATED “DOG-FRIENDLY” properties. (We're four-pawed lovers so we get it)

Check your property online to confirm it is Dog-Friendly.  Dog-Friendly properties require a non-refundable pet fee of $150. Local boarding is available. If pets are found to be present in a NON-DOG-FRIENDLY property, you will be asked to leave and no refund will be given and you will incur a $150 fee. If you have a special request contact AIVR to discuss options.



Smoking is strictly prohibited in all of our rental properties.  You will incur a $150 charge for carpet cleaning and deodorizing if any evidence of smoking is found.


Substitution of Accommodations

AIVR will offer a substitution of rental if unforeseen and/or out of control mishaps; such as AC failure etc happen.  



Telephones are available in some units for local calls only.  Long-distance calls must be charged.

Lost & Found:

If you have left something behind, we are happy to return to you within 30 days after your departure.  After that, we'll donate the said item.

We'll notify you of any items left behind.  


Reporting Damage
Please note any damage upon arrival and report it to our office:
         The following are items which are considered an emergency and should be reported immediately:
                   1.   Broken windows or doors that cause a security concern.  
                   2.   No power, no water.
                   3.   Major Appliance (refrigerator, stove, air conditioner) functioning at all.
 All other damage should be reported as soon discovered. 
Any appliance or component that is functioning improperly. Broken fixtures or similar items that require repair.
**Amelia Island Vacation Rentals checks all unit and items to make sure they're in working condition........" after every guest departs....and......before every guest arrival".



The undersigned guest, their heirs, assigns and successors in interest for good and valuable consideration, agree(s) to indemnify, release and hold harmless Amelia Island Vacation Rentals, LLC, their heirs, assigns, successors and any Condominium Association (if applicable) in interest, from any and all liability for claims, actions, causes of action, damages, injuries or legal fees relating in any way whatsoever to the use by the above-referenced tenants and their guests located on the premises.


Guests understand and agree that there are risks of serious bodily injury from the use of pools, bodies of water, and other amenities offered at the rental unit, and Guests assume all risks and accept full responsibility for any injury, damage, or loss of property, including money, jewelry or valuables. 

Guests agree that neither the Property Manager or the Property Owner shall be liable for any claims, demands, injuries, damages. Guests agree to hold harmless Property Manager and Owners from any accidents, injuries, losses and/or damages to Guests and/or Guests’ invitees.






All Guest must abide by the City Ordinance of Fernandina Beach, FL:

Chapter 90 - WATERWAYS[1]          
Sec. 90-41. - Littering prohibited.

(a) It shall be unlawful for any person to place, by any manner whatsoever, upon the Atlantic beaches of the city, any material, whether organic or inorganic, including but not limited to glass, nails, tacks, wire, and cans, and allow that material to remain.

(b) All litter shall be placed in the receptacles provided or carried away from these areas by the visitor.

(c) It is unlawful to deposit, leave or bury any fish or other marine life carcasses, remains or waste on or near the Atlantic beaches of the city.

Sec. 90-42. - Glass containers prohibited.
The use of any glass containers on the Atlantic Ocean beaches is prohibited.




Sec. 10-4. - Possession of opened container in vehicle.
It shall be unlawful for any person to possess open containers of alcoholic beverages in vehicles, as provided in F.S. § 316.1936, in the city.
Sec. 10-5. - Consumption in public places prohibited; open containers prohibited; exemptions for special events, city facilities, and certain public places.

(a) It shall be unlawful for any person to have, consume or drink any alcoholic beverage, including but not limited to beer or wine, on any public street, highway, right of way, sidewalk, and boardwalk, except within a confined and designated area of a city-permitted special event or city-owned facility, in accordance with all restrictions of a permit or written agreement and of this City Code including but not limited to sections 70-110 and 70-111. It shall be unlawful for any person to drink or attempt to drink any alcoholic beverage from a can, bottle or glass or to possess in an open can, bottle or glass any alcoholic beverage on any public street, highway, right of way, sidewalk, and boardwalk.



(a) It shall be unlawful and a violation of this article for any person to dump, deposit, place, throw or leave any refuse, paper, litter, rubbish, debris, filthy or odoriferous object, substance or other trash upon a state or county highway, public street, road, or other public thoroughfare or the right-of-way therefor, or within 20 yards of a state or county highway, public street, road, or other public thoroughfare. If a violation is committed as set forth in this section from a motor vehicle, the driver of the vehicle shall be presumed to be the offender.

(b) It shall be unlawful and a violation of this article for any person to place or allow to be placed upon the streets, alleys, curbings, parks, public squares, or sidewalks of the city, or other public places in the city, any rubbish, sweepings, debris, litter, trash or waste materials of any kind which might be a menace to traffic both vehicular and pedestrian or which might endanger the proper operation of the city's sewer or drainage system.

(c) All litter, trash, debris, and rubbish shall be placed in public receptacles, in authorized private receptacles for collection or in official mulch sites. However, no person shall go upon the city mulch sites for the purpose of depositing those materials without first having obtained a written permit from the city manager.
